Volunteer Program Terms and Conditions

The following terms and conditions are an agreement between you and September 10 Rescue Center (September 10) for your volunteering program.  When you make a booking for volunteering program, you are agreeing to what is written below. We have attempted to make them as clear as possible so it is vital that you read the whole document and understand what each part means.

Please read the September 10 Rescue Center (September 10) Terms and Conditions carefully before submitting your online booking form. By using this site and clicking on the box in the online booking form you agree to the following terms and conditions. 

Travel
The volunteer is solely responsible for arranging and paying for their own travel, specifically including all airfares or other transport costs to and from the host country as well as any local transport costs. It is the responsibility of the volunteer to carry all necessary documents when travelling abroad. While SEPTEMBER 10 may advise the volunteer on required travel documentation, SEPTEMBER 10 are not responsible for any supporting documents necessary for the volunteers travel needs or other purposes. In all cases, this includes daily transport to and from your placement. SEPTEMBER 10 cannot meet, reimburse or otherwise be responsible for any flight, travel or other costs or expenses of any nature (including, for example, any charges made by airlines etc for cancelling, changing or transferring flights or other arrangements) which are incurred or arise as a result of your placement not proceeding or being cancelled, shortened, withdrawn or changed due to circumstances outside SEPTEMBER 10 control.

Insurance
SEPTEMBER 10 does not provide the volunteer with insurance of any kind. While travel insurance is not mandatory to volunteer with SEPTEMBER 10, it is highly recommended. The volunteer is solely responsible for evaluating and determining the type, extent and levels of any insurance coverage they need or desire for their planned volunteer travel period.

Refund Policy
SEPTEMBER 10 registration and program fees are significantly less than the fees charged by other volunteer organizations and are encouraged to compare SEPTEMBER 10’s fees to the fees charged by other similar companies. As a consequence, SEPTEMBER 10 operates on a much smaller profit margin and is therefore unable to provide and does not provide an open refund policy.

Registration Fees
The registration fee is refundable up to sixty days before the start of the volunteer’s placement in the host country. All refunds will be made less the costs occurred in processing the refund such as bank and transaction fees and a SEPTEMBER 10 processing fee. The start date used for refund purposes is the earliest date (in the situation volunteers change dates prior to starting) that the volunteer has indicated they wish to start. Requests for registration fee refunds must be faxed or posted to SEPTEMBER 10 with the signature of the volunteer. Phone calls and e-mails are unacceptable. Once the volunteer’s refund request had been received by SEPTEMBER 10, the volunteer will be notified immediately via email. If the volunteer does not receive such an email, the assumption should be made that the request has not been received. If a volunteer registers and requests a verification email, they cannot then receive a refund for their registration fee should they withdraw from the program. Only 10% of registrations for that period in each country can be refunded. SEPTEMBER 10 reserves the right to revise the registration fee at any time. All registration fee revisions will be made via the SEPTEMBER 10 website. Registration fee revisions are not applicable to volunteers who have already submitted their online booking before the revisions are due to take affect.  A volunteer’s placement on a program cannot be confirmed until registration fee has been paid in full.

Program Fees
Program fees paid to SEPTEMBER 10 directly are not refundable.  Program fees paid through SEPTEMBER 10 by means of online payment, bank or wire transfer will need to have transaction costs covered by the volunteer. Program fees are due 60 days prior to the beginning of the volunteer’s program placement. Failure to make this payment can result in a loss of volunteer placement.

Personal Risks
The volunteer acknowledges and accepts the responsibilities and risks associated with their agreement to travel to, temporarily live in and provide volunteer services in a developing country. Such travel and volunteer work can be often hazardous and involves a certain degree of risk, inherently dangerous activities and personal perils to the volunteer, both foreseen and unforeseen, all of which are fully accepted by and solely assumed by the volunteer. Therefore, SEPTEMBER 10 including any and all of its employees, managers, directors, shareholders, host families and host country partner organizations are not liable, to the maximum extent of the law, for any loss or harm the volunteer or associates may suffer, including but not limited to loss caused by:

  • - Personal injury
  • - Emotional injury
  • - Death
  • - Illness or disease
  • - Damage to or loss of property

Drug and Alcohol Use
The volunteer must abide by the rules put in place by SEPTEMBER 10’s partner organization, volunteer placement institution and host family in regards to alcohol consumption. SEPTEMBER 10 prohibits the illegal distribution of alcohol to participants who are not of legal drinking age in the host country. Furthermore, excessive and irresponsible drinking leading to intoxication and behavior that interferes with the volunteer program, placement or the rights of others is subject to immediate disciplinary action, and may result in dismissal from the program. Volunteers are prohibited from selling, using, or possessing any drugs that are considered by host country law to be illicit or illegal. Volunteers are cautioned that the possession of drugs is often dealt with harshly by host country law enforcement. Any drug infraction will be considered a grave violation of policy and will result in immediate dismissal from the program.

Problem solving during your placement
Volunteers may encounter challenges and difficulties during their placement.  For this reason, i-to-i has created a procedure, to help you at these times.  If you require support, you must follow i-to-i’s support procedure:

  1. Attempt to resolve the issue yourself
  2. Ask the project host for help and together try to arrive at a solution.
  3. Contact your In Country Co-coordinator.  Explain what the problem is and the steps you have taken to resolve it. 
  4. Contact the SEPTEMBER 10 office, outlining the facts in writing.  We will respond within 48 hours. 

Code of conduct
All volunteers are expected to adhere to the SEPTEMBER 10 volunteer code of conduct and by agreeing to these Terms and Conditions you also agree to adhere to our Code of Conduct.  This covers, but is not limited to, respecting others’ cultures and beliefs, working responsibly at your project, respecting the accommodation and avoiding drugs and illegal activities.  The code of conduct is listed at the end of these Terms and Conditions. Ending the Agreement
We will end our agreement with you, in writing:

  1. If we discover that you have deliberately lied or not disclosed important requested information about yourself during the application process, which may call into question your suitability for volunteering
  2. If you are found to be involved in the misuse of substances which are illegal in the country of your placement and/or your home country, or you are charged or convicted of a criminal offence while you are on your placement
  3. If you break any part of the volunteer code of conduct.  A copy will be made available to you before you travel.

In certain circumstances, we may find it more appropriate to issue a written warning to you.  We will make the reasons for the warning clear, and give you a reasonable amount of time to alter your behavior.  If you do not comply with this request, we will end our agreement with you.
You may end your agreement with us, in writing:

  1. For personal reasons, i.e. family illness.  In these circumstances, you may be able to claim for part of your program fee, less the appropriate excess.

If you terminate your agreement with us for personal reasons once you have started your placement but prior to its completion, you are responsible for the consequences of that decision.  SEPTEMBER 10 will not be responsible for you once you have left your placement; will not be responsible for any costs, expenses, loss or other sum(s) of any description you incur or suffer as a result; and will not give you any refund of any payments you have made.

Please note that in the event of you leaving your placement early we will contact your stated emergency contacts to inform them that you are no longer under our duty of care.

Accuracy of Marketing Materials
We believe that all statements made in our brochure, website and other marketing materials are factual and correct at the time they are made. Every reasonable effort has been made to describe the placement and to provide the amenities described.  We cannot be held responsible for any changes that become known or happen after the brochure was produced (up-to-date information can be found on the website).  Nor can we accept liability for happenings outside our reasonable control. We undertake to advise you of any material changes known to us prior to your departure providing there is sufficient time to do so and we can contact you.

The Governing Law
These conditions will be governed by the laws of KENYA. The Courts of KENYA will deal with any claim you wish to bring against SEPTEMBER 10 directly. When signing these terms and conditions, both parties recognize that you are not an employee of SEPTEMBER 10.

Use of photos and comments
By signing these terms and conditions you agree that we may use any photo(s)/image(s) we or someone on our behalf take of you or any comments (written or verbal) you make during or in connection with your placement for our promotional/marketing purposes (such as including them in our brochure / website) without obtaining your further specific permission or making any payment to you. Such use may include mentioning your name, age and town / city / area of residence. 

                                                           
Miscellaneous

SEPTEMBER 10 Volunteer Code of Conduct

This code of conduct sets out the standards of behavior that is expected of SEPTEMBER 10 volunteers, not only by SEPTEMBER 10 as a volunteer placement organization, but also by the  home stay families and providers of accommodation and, most importantly, the projects that we work with.

This code is separated into three sections:

  • General
  • At The Project
  • Accomodation

The code of conduct is designed to help you achieve the most out of your placement in a safe manner. It also ensures that the organizations and people we work with are treated with respect and that consideration is given to other cultural aspects during your placement. Please note that breaches of the code of conduct may result in your placement being terminated without compensation.

General

You must:

  • Listen to, and follow the advice or requests of your  Country Project Coordinator
  • Realize SEPTEMBER 10 has a zero tolerance policy towards the possession and use of illegal substances.  If you are found in possession of, or are under the influence of such substances, you will have your placement contract terminated immediately.
  • Respect, and seek to understand, the culture of the country you are placed in.  This involves being tolerant to varying approaches of the local people (your coordinator can explain the cultural norms and advise you.) 
  • Follow your project rules; respect your family and local community regarding consumption of alcohol
  • Be aware of potentially different attitudes towards sexual relationships in the country which you are volunteering and understand the effect that any such relationship may have on individuals and the local community
  • Treat all people with respect and dignity
  • Dress appropriately at all times with regard to the culture you are living in
  • Not engage in political demonstrations or illegal activities

Understand that the project and accommodation booked in and provided is non-changeable in country without the prior approval of the In-Country Project Coordinator.

  • Keep your In-Country Project Coordinator informed of your plans about trips and weekends
  • Consult your In-Country Coordinator outside normal working hours only for an emergency

 At the project
You must:

  • Endeavour to maintain a positive mental attitude throughout your placement
  • Act as a conscientious member of the project team. You are relied on as a dedicated member of staff
  • Abide by all the rules of the project at which you are working and respect them as any other member of staff
  • Not accept payment of any kind for the work that you are doing.
  • Work hard to achieve not only your own personal goals but also those of the project and the people and / or organization that you are helping
  • Listen to, and follow, the instructions of your supervisor / contact at the project in addition to those of the In-Country Project Coordinator
  • Inform your supervisor / contact at the project if you are at any time unable to fulfill the duties to which you have committed
  • You must treat with care all of the materials that you use during your placement
  • Make suitable arrangements with the In-Country Project Coordinator to extend your placement and arrange payment for accommodation and the travel insurance policy that you have. It is not possible to extend your stay without official confirmation

Accommodation
You must:

  • Respect local custom and abide by the rules of the accommodation in which you are staying
  • Check with either the home stay family or owner of accommodation before inviting anybody to your room
  • Be aware that overnight visitors are not allowed
  • Respect the accommodation you are using and pay for any damage you may cause to the property
  • Keep your room clean and tidy.
  • Not smoke in your accommodation unless the owner allows
  • Stay at the accommodation allocated to you. You are not allowed to make your own accommodation arrangement for security reasons
  • Settle any outstanding bills before leaving the accommodation
  • Be aware that there will be no refunds for food/accommodation if you decide to go on trips or leave early

SEPTEMBER 10 does not warrant or make any representations regarding the correctness, accuracy, reliability, or otherwise of the materials in this site or the result of their use. SEPTEMBER 10 is not liable for any errors, lack of services or mistakes made by partner organizations.
